Digital document collection for financing

Give advisers a clear view of document collection while building on the bank’s existing systems.

The project at a glance

Business need. Advisers maintained free-text document lists and followed up with customers manually.

Solution. Connected Paperfly with the bank’s adviser system, protected customer email addresses and coordinated delivery across organisations.

Results. Live in under three months from the business idea. Advisers can follow case progress in their existing system and review uploads earlier.

Less manual tracking for advisers

After discussing a financing application with a customer, advisers created a list of required documents. Customers then sent documents by email or brought them to the bank. Requirements were recorded as free text in the customer-management system, leaving advisers to track missing items, deadlines and overall progress.

The bank wanted a more structured collection process as part of an existing programme to improve financing operations. The challenge was to connect a new customer-facing service with established banking systems, privacy requirements and everyday adviser work.

A connected journey for advisers and customers

Advisers now start a collection case from Avaloq, the bank’s existing adviser system. They choose a financing template in Paperfly and adjust the requested documents to the customer’s situation. Paperfly tracks submissions, sends reminders and notifies the adviser whenever a customer uploads a document.

Norify built the connection that brings case progress back into Avaloq. Advisers can see collection status there rather than reconstructing it from free-text notes. Upload notifications allow them to review documents and identify issues earlier.

Customer email addresses remain hidden from Paperfly throughout the case. Norify designed a bank-controlled email connection using substitute addresses that route communications to the correct customer without revealing the real address to the platform. Norify also proposed a mandatory banking-secrecy acceptance and signature step, implemented with Paperfly’s forms and signature capability, before customers can upload documents.

Responsibility from proposal through implementation

Norify’s principal architect joined during the proposal phase, working with the bank’s business analyst to clarify technical questions and shape the business case. After approval, he prepared the solution design and presented it to the bank’s architecture board, addressing security, reliability and scalability requirements.

Norify then carried the design into implementation: connecting case creation and progress reporting, building email delivery with attachments, linking adviser sign-in and access permissions, and preparing development, test and production deployment and monitoring.

The work also depended on clear collaboration between the bank, Paperfly and the hosting partner. Norify translated requirements between organisations with different responsibilities and ways of working, resolved security and integration questions, and coordinated implementation across those boundaries.

From business idea to production in under three months

The integration reached production in under three months from the initial business idea. During the period of close support after launch, Norify coordinated further requirements with Paperfly and the hosting partner and carried them into delivery.

Keeping the integration outside the bank’s core application allowed smaller changes to progress independently of its longer release cycle. This created room to respond to business needs while continuing to use established banking systems.

Advisers use the solution across more than eight financing categories, with dozens of document types and configurable forms. Paperfly maintains the collection list and sends upload notifications, reducing the need for advisers to maintain their own document-status tracking.

Technical foundation

Norify combined systems integration, secure access and automated deployment to support digital document collection within the bank’s existing environment. Key technologies included Paperfly, Avaloq, Java, OpenShift and Microsoft Entra ID.
